What is a Pivot Table

Excel provides several tools for analyzing data and presenting it in a concise form. In the previous session you have learnt about charts. In this article, you will learn about PivotTables.

Most of the data in Excel is presented in the form of tables, that is, rows and columns.

PivotTables present such data in a summarized format and thus help in database analysis. Using PivotTables, you can analyze values in a database according to related fields. These tables are known as PivotTables because you can change their layouts by switching and rearranging the row and column headings. Some of the uses of PivotTables are:

• PivotTables can be used to create summaries of large volumes of raw data and present it in a form. Columns in a Pivot Table can be rearranged to present different types of relationships between the sets of data. Thus, PivotTables are very powerful data analysis tools.

• You can set filters and group data in a PivotTable. Thus, PivotTables allow you to selectively view sections of the data.

• PivotTables arrange data in a format that can be easily used to create a chart.

• You need not rearrange your data in order to create a chart.

• Since PivotTables summarize data in such a way that trends and exceptions are clearly indicated, they can be used as a report.

Filtering Data in a PivotTable

You can view the PivotTable by setting a filter. When you set a filter, the Column field changes to a combo box. You need to select an item from the combo box and the summary data for that item is displayed by the PivotTable. For example, you can filter the data on the Destination field. In such a case, you need to select the destination city whose summary data you want to view.

• Click on the PivotTable and select the PivotTable and PivotChart Report from the Data menu.

Drag the field on which you want to set a view to the Page section. And hit the ok button followed by the finish button.

In the PivotTable, the field in the Page field is changed to a combo box. You need to select a destination city in order to view the summary values for that particular city.

There is an All button combo box. If you select the All button, the summary values for all the cities are displayed. In order to view the summary of a particular city, you need to select the city from the combo box.
